
Trail Nine Media (T9), a boutique video production company based in Salt Lake City and Los Angeles, was hired to create 31 shortform startup pitch videos for a tech accelerator program. Each video needed to be 3–5 minutes long, highlighting a unique company’s vision, team, and market opportunity. The challenge? The entire process — from raw footage to rough cuts to client-approved final versions — had to be completed in under 24 hours. The T9 team needed a video management solution that could support high-speed editing, video streaming, remote collaboration, streamlined review workflows, and tight version control, all without introducing complexity or downtime.
To meet this intense deadline, T9 deployed Hivebot, a video production workflow engine, on a local Windows laptop connected to a networkattached storage (NAS) system for expanded capacity. This setup ensured fast local access to video assets without the delay of cloud file transfers. Hivebot’s server capability allowed a team of remote reviewers to access andreview video drafts in real-time via their web browser, without requiring file downloads. This enabled parallel feedback loops across multiple reviewers and eliminated the friction of file transfers and the wasted time of endless file uploads and downloads.

Hivebot's custom tagging and statemanagement system was critical to T9's success. Each video moved through clearly defined workflow states — such as "Ready for Review," "Comments Submitted," and "Approved Final" — making it easy for the T9 team and external reviewers to stay aligned. Hivebot’s live streaming of rough cuts and final versions meant stakeholders could view and respond instantly, without waiting for rendering or upload processes. This drastically accelerated the feedback loop while ensuring version clarity.
By integrating Hivebot into their local workflow, T9 saved over six hours that would have otherwise been spent uploading and downloading massive video files. This gain in efficiency proved critical in meeting the 24-hour deadline. More importantly, the team was able to abandon their traditional spreadsheet-based tracking system.
